About the Role:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to provide comprehensive support to the President and Director of Operations and ensure the seamless operation of administrative, marketing, and governance activities. This multifaceted role demands a high level of professionalism, discretion, and versatility—balancing executive support, marketing tasks, travel coordination, and board-level governance support. The EA will be required to be in the corporate office 100% of the time. Position is expected to begin early September 2025. Application deadline is July 24, 2025.

Key Responsibilities:

Executive Support

  • Provide high-level administrative support to the President and Director of Operations, including calendar management, scheduling, and prioritizing meetings.
  • Maintain accurate filing systems for sensitive and confidential documents.
  • Draft correspondence and handle email communications on behalf of the President and Director of Operations.
  • Prepare reports, presentations, and documentation as required.

Marketing & Communications

  • Assist with content creation, including blog writing, social media management, and email marketing campaigns.
  • Support brand development and consistency across platforms.
  • Design visually compelling materials using tools such as Canva or similar.
  • Maintain and update the website and digital assets in collaboration with external stakeholders or internal teams.

Travel & Logistics

  • Arrange domestic and international travel, including flights, accommodations, and car rentals.

Board, Committee, & Governance Support

  • Organize and coordinate governance and board/committee meetings including agenda creation, minutes, follow-ups, and document distribution.
  • Maintain governance documentation and ensure compliance with internal policies and applicable regulations.

Operational Tasks

  • Manage the packaging and shipping of materials, products, and marketing assets.
  • Oversee and maintain spreadsheets, reports, and databases using Excel and Word.
  • Assist with administrative projects as needed.

Qualifications & Skills:

  • Minimum 3–5 years of experience in a similar executive assistant or administrative role.
  • Demonstrated experience in marketing, including social media management, blog writing, and branding/design.
  • Excellent verbal and written communication skills in both English and French (bilingual required).
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and marketing tools/platforms.
  • Experience supporting board and committee governance activities.
  • Outstanding organizational skills with a keen eye for detail and time management.
  • Ability to work independently, prioritize multiple tasks, and handle confidential information with integrity.
  • Energetic, flexible, and professional demeanor in both in-person and virtual interactions.
